SEO Agency Prospect Research: A Checklist Before First Contact

What do you actually need to learn before reaching out?

Prospect research for an SEO agency does not require a free audit of every technical issue on a potential client's website. Your goal is to find a specific observation that could connect to the company's commercial priorities and support a useful conversation. Keeping that boundary helps you manage research time per account and write an opening message with more substance than a generic service pitch. A short, consistent research record is enough to get started.

First, establish what the company sells, who buys it and which markets it serves. Start with service pages, industry solutions, case studies and contact information. Your checklist should answer three questions: Does this business fit your ideal customer profile? Could organic search attract demand relevant to its offering? Is the website's main conversion goal a quote request, a demo booking or a direct purchase?

Do not invent customer acquisition cost, lifetime value or monthly recurring revenue figures when those numbers are not publicly available. Record questions to validate during a conversation instead. For example, asking how the business tracks organic search's contribution to qualified opportunities is more useful than asserting that its acquisition costs are too high. This first screening should establish account fit and a reason to investigate further, rather than produce a definitive diagnosis.

Which website observations justify a conversation?

Prioritise pages that help buyers make decisions. Does the main service page explain the scope of the offer? If the company promotes an industry-specific solution, is there content supporting that positioning? Do educational articles guide readers towards a relevant service? For each observation, record the page URL, the review date and exactly what you found. Replace vague judgments such as “weak content” with a description of the information you could not find.

In a hypothetical example, an industrial maintenance provider explains its service process but does not list the equipment types it supports on the page you reviewed. That is the observation. Any effect on search intent or the quality of quote requests remains a hypothesis. You could open a conversation by asking, “Do you assess incoming enquiries separately by equipment type?” This connects the page to a commercial question while keeping the uncertainty visible.

Apply the same discipline to technical checks. One slow page load does not establish a persistent performance problem, and failing to see a page in a search result does not prove it is unindexed. Technical concerns may need further measurement. Keep public observations, issues requiring testing and analyses requiring client access separate in your research notes. That distinction helps prevent unsupported claims in your first conversation. You do not need to include every possible issue in the opening email.

How do you connect an observation to a business priority?

Explain the possible connection before making claims about commercial impact. In a hypothetical example, a service page aimed at buyers ready to request a quote has no clear route to the enquiry form. The immediate question is whether visitors can find their next step. Establishing whether that affects opportunity volume requires behaviour and conversion data. State what you observed directly, and describe the potential effect conditionally.

Ask how the page fits into the company's wider channel mix. The same page may serve visitors from organic search, paid campaigns and referrals. A content recommendation could therefore matter to demand generation as well as SEO. Without attribution data, avoid assigning a conversion to a single channel. Use the conversation to establish whether organic search typically introduces prospects to the business, supports their evaluation or plays another role in the buying journey.

Consider timing as well as relevance. A newly published industry page may provide a reason to ask about expansion into that market, but it does not establish available budget or buying intent. Structure each research note as “observation, possible business connection, validation question”. This also gives an account manager enough context to pick up the discussion without turning a tentative interpretation into an established fact.

Which claims in an AI-generated draft need checking?

Before sending an AI-generated message, compare every factual statement with your research notes. Are the company name, service scope, target markets, contact name and job title accurate? Has the draft added a website weakness you did not observe? Remove statements such as “Your traffic is declining” or “Your competitors are ahead of you” unless you have evidence that supports them. Fluent wording does not turn a plausible explanation into a verified finding.

Pay particular attention to absolute language such as “no”, “never” and “definitely”. Not finding a piece of content does not establish that it is absent from the entire website. “I couldn't find the supported equipment types on the service page I reviewed” makes the limit of your observation clear. Likewise, do not promise that a proposed change will improve rankings or increase sales. Use AI to organise research and prepare drafts, then take responsibility for the final claims by checking their sources.

LeaderMix uses Google Places for company discovery and Apify for contact enrichment. AI creates message drafts; users review them and send email campaigns. Email verification through Reacher is available, but you should not assume every address has been verified. Verification does not establish that a person is the right decision-maker or guarantee delivery. Assess the accuracy of contact data separately from the accuracy of the business claims in your message.

How do you know when you have researched enough?

You have a useful basis for first contact when you can explain the account's fit, point to a documented website observation and connect it to a clear conversation question. Evaluate your approach using more than email open rates. Track the substance of replies, progression to meetings and the creation of qualified opportunities to understand which research angles resonate. Comparing results within the same target segment can help you distinguish the contribution of account selection from the contribution of the message itself.

For your next prospect, add just three things to the account record: a page link, a verified observation and a question for the conversation. Build the first message from that record.
